Advance Meeting Information

The 109th Stated Meeting of the Presbytery of the East that will take place on April 28-29, at Faith EPC, Kingstowne, Virginia.  Additional details will be posted as they are developed and become available.

 

MEETING DATES/TIME:

Friday, April 28, 2017.  The business meeting will start at 1:00 p.m. on Friday, April 28, 2017.    Friday includes the Business Meeting, Moderator’s Dinner, and Worship Service. The Worship Service includes an offering for the Seminarian Fund.

Saturday, April 29, 2017 – 8:45 a.m.-1:30 p.m. (approximate) and includes morning worship and the business meeting.

MEALS:

Meal Reservations.

Deadline for meal reservations is 5:00 PM on April 21, 2017. Please respect the need to make reservations by this deadline so the host church can accommodate everyone.

Everyone attending, who wishes to have dinner, breakfast, and/or lunch at the church, MUST make meal reservations in advance of the deadline. The website for meal reservations will be disabled at 5:00 PM on April 21, 2017, and no further reservations will be taken. Reservations cancelled after this date must be paid for by the person making the reservation.

Meal Registration.

Click on “Click Here to Make Meal Reservations”, and follow the instructions for selecting meals. Separate vegan meals will be provided for vegans and vegetarians for the Moderator’s Dinner if a vegan meal is requested. There are two selection options for the Moderator’s Dinner: one beef/chicken, one for Vegan.{Note:  Don’t click on “Proceed to Checkout” until you have selected all meals you want.}  At the end, just before “Place Order”, insert any dietary restrictions under “delivery” notes.  The meal registrations are set up so that only one reservation per individual can be made at a time—do not try to reserve meals for more than one person at a time.  To make a reservation for meals, enter your name, church/organization, email address, etc. as requested, and click on the meal(s) (Add to Cart) you want.  Cash or checks will be accepted when you check in at the church for the meeting. On-line payment is not available.

Moderator’s Dinner – $25.00 per person.  Buffet Style, featuring beef and chicken.

Separate vegan meals for vegans and vegetarians will be provided – see instructions above.

Saturday, April 29, 2017 (at the church)
Breakfast:  $3,00 per person – Continental
Lunch:         $5.00 per person – Grab and go

EQUIPITRY:  In addition to providing a pre-Presbytery workshop, Rev. Dr. Ed McCallum will also give the Equipitry session on “Embracing the Strengths of a Small Church”.

WORSHIP SERVICE.  Rev. Dr. Todd Smedley, Fourth EPC, will preach at the Friday evening Worship Service.

DOCUMENTS APPLICABLE TO THE MEETING.  Documents needed for participation in the meeting will be placed in the POTE DropBox specifically for the 109th Stated Meeting as they are completed.  {Please do not try to use the link for the 108th Stated Meeting as you will access old documents.}  The DropBox is for POTE only use and will not be available on the POTE Website. There is nothing currently in the DropBoxes; however, please check the DropBox periodically during the time before the meeting for additions.

AUDIO/VISUAL REQUIREMENTS.  Anyone making a presentation at the meeting and requiring audio/visual assistance, MUST contact Eric Geary at email faithepcprojector@verizon.net or by phone at 703-350-2701 not later than April 17,  2017, to work with him to set this up.

MEETINGS AND EXHIBITS PRIOR TO OR DURING MEETING
Meeting space is available at the church. The contact information will be provided in a future meeting notice.

SPECIAL EVENTS A pre-Presbytery  workshop by Rev. Dr. Ed McCallum, EPC Assistant Stated Clerk on “Embracing the Strengths of a Small Church”.  The workshop will be held on Friday morning at Faith EPC from 9:00 a.m. to noon.  The cost is $10 per person for workshop materials and lunch on Friday.  As you may have noted in the section on “Hotel Reservations”, rooms have been set aside at the Wingate at the POTE price for Thursday night (as well as Friday night) for those who want to arrive on Thursday to make the 9:00 a.m. start time for the Workshop.

DOCKET.  The Docket for the meeting is being developed by the Executive Council and will be provided when finalized.  Anyone wanting time on the Docket for either Friday or Saturday, must contact Lanah Hamrick at hamricklb@verizon.net not later than March 24, 2017, but much sooner is preferred.
